Documents can be resubmitted more than once for approval and each submission is fully documented. Each approver can choose to accept or reject the document and document changes. If the document is rejected, the author is notified and can make the necessary corrections and resubmit. Once approved, the approved version and all priors are locked from further changes. However, if an approved document needs revision, a version can be unlocked for editing and resubmitted for approval.
How Document Approval helps to maintain quality control of key documents:
- Sales managers can request that documents or files pertaining to a product or customer be submitted for review and approval prior to release or service/sales
- Engineering managers can request that technical drawings and manuals be submitted for approval before commencement of production
- Senior management can review and approve department budgets before expenses are made or committed
- Project managers can review and approve project proposals before distribution to team members
